Permit Order Terms
These Permit Order Terms apply every time you order an oversize, overweight, trip, fuel, or other permit or compliance service from Xpress Route Permits, LLC ("XRP," "we," "us"). They work together with our Terms & Conditions, Privacy Policy, and Refund & Return Policy. If anything here conflicts with those pages on a permit order, these Permit Order Terms control.
By checking the box on our order form, paying a deposit, or paying an invoice, you agree to these terms. If you're ordering for a carrier or company, you confirm you're authorized to do so.
We're a private permit service
XRP is a private, third-party permit service. We are not a government agency and we're not affiliated with Caltrans, TxDMV, the FMCSA, or any state DOT or DMV. You can apply for most permits directly with the issuing agency yourself. When you use us, you pay a service fee for our work on top of the government fees the agency charges.
How an order works
- You send the order. Submit the order form with your carrier, truck, trailer, load, and route details.
- We review and quote. We check your information and send you a quote showing government fees and our service fee. A member of our team reviews every quote before it's sent (see How quotes are prepared below).
- You pay. Pay your deposit or invoice (see Payment below).
- We file. We submit your application to each state on your route.
- You get your permit. We email your permit as soon as the state issues it. Check it over before you roll.
How quotes are prepared
We use automated tools, including AI, to help read your order and figure the state fees and our service fee. A member of our team reviews every quote before it's sent to you.
- Check your quote before you pay. Make sure the states, dates, dimensions, and weights match your load.
- Something look off? Reply to the quote email or call (909) 310-3350 before you pay, and we'll go over it with you.
- If a quote is wrong, we fix it before filing. If the corrected total is higher, we'll tell you the difference and won't file until you okay it. If you'd rather not go ahead, we'll cancel and refund everything you paid. If the corrected total is lower, we'll refund the difference.
Payment
We collect payment through Stripe. Your card or bank details go straight to Stripe and are never stored on our systems. Depending on the order, we'll use one of two methods:
- Deposit, then balance. A deposit of $65 is due when you place your order. The deposit is applied to your order total. We'll invoice the remaining balance once your permit cost is confirmed, and the balance must be paid before we submit your application.
- Full invoice. We send one Stripe invoice for the full amount: government fees plus our service fee. We submit your application after the invoice is paid.
Either way:
- Nothing is filed until you're paid up. We don't front state fees.
- Quotes are good for 2 business days. State fees, routes, and restrictions can change. If your invoice isn't paid in that window, we may re-quote before filing.
- Unpaid orders close. If an invoice goes unpaid for 7 days, we'll close the order. You're welcome to place a new one.
- Price changes during processing. If a state changes its fee, adds an escort requirement, or reroutes your load after you've paid, we'll tell you the difference before we go further. Nothing extra is charged without your okay.
- Declined or reversed payments. If a payment is declined or charged back after we've filed, you're still responsible for the government fees we paid on your behalf.
Your information has to be right
States issue permits based on the information you give us. You're responsible for making sure it's complete and accurate, including:
- Overall length, width, height, and gross weight
- Axle count, axle spacing, and axle weights
- Truck, trailer, and dolly year, make, VIN, plate, and plate state
- Load description, serial numbers, and whether the load is divisible
- Origin, destination, and requested route
- USDOT, MC, IRP, IFTA, and any state account numbers
- Active insurance and registration on file with each state
If a permit is delayed, denied, or issued wrong because of information you gave us, a new permit (or an amendment) will carry new government fees and a new service fee. If your load, equipment, or dates change after you order, tell us right away.
Timing and approval
We work fast and many permits are issued the same day, but the state decides whether and when a permit is issued. We can't guarantee approval, turnaround time, or a particular route. State office hours, holidays, engineering reviews, and superload analysis can all add time. Plan ahead for big or multi-state moves.
Once you have your permit
The permit is issued to you, and running it legally is on you. That means:
- Read the entire permit and every condition before you move
- Stay on the permitted route and inside the permitted travel times
- Follow curfews, holiday and weekend restrictions, and weather rules
- Run the required signs, flags, lights, and escorts
- Carry the permit the way each state requires (printed or electronic)
- Keep your registration, insurance, and credentials current
If you spot a mistake on a permit, call us before you move. Once the load is rolling, fixing it gets harder and costs more.
Pilot cars, escorts, and route surveys
Pilot car, escort, high-pole, and route survey providers we line up for you are independent businesses, not XRP employees. We pick them in good faith, but we're not responsible for their work, delays, or no-shows. Their rates and cancellation terms are given to you when the service is booked.
Changes, amendments, and reissues
Need to change dates, equipment, or route after a permit is issued? Many states allow amendments for a fee, and some require a brand-new permit. We'll quote the state's charge plus our service fee before we make the change.
Cancellations and refunds
- Before we start work: cancel before we begin preparing your application and we'll refund your deposit or payment in full.
- After we start work: once we've begun preparing or have submitted your application, the service fee is earned and non-refundable.
- Government fees: once submitted to the state, government fees are set by the agency and are not refundable by us, whether the permit is used, cancelled, or expires. Some states issue their own credits or refunds; if yours does, we'll help you request it.
- Our mistake: if a permit is issued wrong because of an error on our side, we'll fix and refile it at no extra service fee. If it can't be fixed, we'll refund our service fee for that permit.
- Denials and delays: we don't refund because a state denied, conditioned, or delayed a permit. If the denial was caused by our error, the "Our mistake" rule applies.
Refunds go back to the original payment method within 5–10 business days. To cancel, call (909) 310-3350 or email legal@xpressroutepermits.com with your order number. Cancel by phone if your permit start date is close.
Fines, citations, and delays on the road
We're not responsible for fines, citations, out-of-service orders, impound or storage fees, detention, missed delivery windows, or lost loads. That includes problems caused by inaccurate order information, route or condition violations, or a state's handling of your application. Our total liability on any order is capped as set out in our Terms & Conditions (the greater of the service fee you paid us for that order or $100).
Your information
To file permits, we collect more than most websites: contact and company details, carrier numbers, vehicle and axle details, load details, routes, and documents you upload.
- Who sees it: the state agencies issuing your permits, the escort and survey providers we coordinate for you, Stripe for payment, and the software tools we use to run orders (like our website, email, and automation tools).
- What we don't do: we don't sell your information.
- Automated help: we use automated and AI-assisted tools to help read your order and prepare your quote. A person on our team reviews every quote before it's sent to you.
- How long we keep it: permit and payment records are kept about 7 years to support renewals, audits, and tax records.
- Texts and email: we'll contact you about your order by email, phone, or text. Reply STOP to opt out of texts.

Other terms
Our Terms & Conditions also apply to every permit order, including the limitation of liability, indemnification, and governing law (California, San Bernardino County). We may update these Permit Order Terms from time to time. The version posted when you place your order is the one that applies to that order.
