Terms & Conditions
These Terms and Conditions ("Terms") govern your use of xpressroutepermits.com (the "Site"), our permit and compliance services (the "Services"), and purchases from our online shop, all operated by Xpress Route Permits, LLC ("we", "us", "our"). By using the Site, placing a permit order, or buying a product, you agree to these Terms. If you don't agree, please don't use the Site.
Who can use the Site
You must be at least 18 years old to use the Site or order Services. If you're using the Site on behalf of a motor carrier, company, or other organization, you confirm you have the authority to bind that organization to these Terms.
We are not a government agency
Xpress Route Permits is a private, third-party permit service. We are not affiliated with, endorsed by, or connected to Caltrans, TxDMV, the FMCSA, or any state DMV, DOT, or other government agency. We charge a service fee for our work in addition to any government permit and filing fees, which are set by the issuing agency and passed through to you.
Permit and compliance services
What we do. When you place an order, we prepare and submit permit applications, coordinate pilot cars and escorts, arrange route surveys, and handle related compliance filings based on the information you give us.
Your information must be accurate. Permits are issued based on the load, vehicle, axle, route, and carrier details you provide. You are responsible for making sure that information is complete and correct. We are not responsible for permits that are delayed, denied, issued incorrectly, or voided because of inaccurate, incomplete, or outdated information you submitted. If your load, equipment, or route changes after you order, tell us right away — the permit may need to be reissued at additional cost.
Estimates and pricing. Any cost estimate we give you, including automated or AI-assisted preliminary estimates, is an estimate. Government fees, escort requirements, and route restrictions can change during processing. We'll confirm final pricing before filing, and you agree to pay the confirmed amount.
No guarantee of issuance or timing. Permit approval and turnaround times are controlled by the issuing agency, not by us. We work quickly and communicate clearly, but we cannot guarantee that any permit will be issued, or issued by a particular date. Stated processing times are estimates.
Compliance is still yours. A permit does not replace your obligation to comply with all federal, state, and local laws while operating. You are responsible for reading and following every condition on the issued permit, including travel windows, curfews, escort requirements, and route restrictions.
Third-party providers. Pilot cars, escorts, high pole drivers, and route surveyors we coordinate are independent providers, not our employees. We select them in good faith but are not responsible for their acts, omissions, or performance.
Payment. Service fees and government fees are due when we confirm your order, unless we agree to other terms in writing. We may collect payment through Stripe payment links or invoice. Government fees that have already been paid to an agency are non-refundable — see our Refund & Return Policy.
Shop purchases (terms of sale)
Orders. When you place an order in our shop, you're making an offer to buy. We accept it when we email a shipping confirmation. We may cancel or refuse any order — for example, because of a pricing error, suspected fraud, or an item being out of stock — and will refund anything you've paid.
Pricing and taxes. Prices are in US dollars and may change without notice. Applicable sales tax is calculated and shown at checkout. If we list a price incorrectly, we may cancel the affected order and let you know.
Payment. Checkout is powered by Webflow Ecommerce with Stripe as the payment processor. Your card details go directly to Stripe and are never stored on our systems.
Shipping and risk of loss. We ship within the United States only. Title and risk of loss pass to you when we hand the package to the carrier. See our Shipping Policy for details.
Returns. Returns and refunds are handled under our Refund & Return Policy.
Safety products. Roadside triangles, oversize load banners, magnets, and similar items are sold as general-purpose safety and signaling equipment. Requirements for size, color, reflectivity, and placement vary by state and by permit. You are responsible for confirming that any product meets the requirements of the states you operate in and the conditions of your permit before relying on it. See our Disclaimer.
Product warranties. Except where the law requires otherwise, products are sold "as is" and we disclaim all implied warranties, including merchantability and fitness for a particular purpose. Any manufacturer warranty is passed through to you where available.
Acceptable use
You agree not to:
- Use the Site for any unlawful purpose or to violate any law
- Submit false carrier, vehicle, or load information, or order a permit for a load or carrier you're not authorized to represent
- Attempt to gain unauthorized access to the Site, our systems, or other users' data
- Interfere with or disrupt the Site (for example, by uploading malware or running automated scrapers)
- Use the Site to harass, threaten, or harm others
- Misrepresent your identity or affiliation
- Reverse-engineer or copy the Site's code or content for unauthorized purposes
We may suspend or terminate your access if you violate these terms.
Intellectual property
The content on this Site — including text, images, logos, graphics, permit guides, and software — is owned by Xpress Route Permits, LLC or our licensors and protected by copyright, trademark, and other laws. You may view and print pages for your own business use. Anything else (republishing, redistributing, training AI models on our content, building derivative products) requires our written permission.
If you submit content to the Site (a review, photo, etc.), you grant us a non-exclusive, royalty-free, worldwide license to use that content in connection with operating the Site. You retain ownership.
Third-party links
The Site may contain links to third-party sites, including load boards and industry partners. We don't control those sites and aren't responsible for their content, privacy practices, or terms. Visit them at your own discretion.
Disclaimers
The Site is provided "as is" and "as available." We make no warranties — express or implied — about the Site's availability, accuracy, completeness, or fitness for a particular purpose. We do not warrant that the Site will be uninterrupted, error-free, or free of harmful components.
Regulatory information on the Site, including our resource guides on load limits, escort rules, and travel restrictions, is for general information only. Regulations change frequently and vary by state. It is not legal advice and should not be relied on as a substitute for the current rules published by the issuing agency or advice from a qualified professional. See our Disclaimer.
Limitation of liability
To the fullest extent permitted by law, Xpress Route Permits, LLC and our officers, employees, and agents are not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Site, the Services, or any product — including lost profits, lost loads, detention, fines, citations, impound fees, missed delivery windows, lost data, or business interruption — even if we've been advised of the possibility of such damages.
Our total liability for any claim related to the Site, the Services, or a product will not exceed the greater of (a) the service fees you paid us for the specific order giving rise to the claim, or (b) USD $100.
Some jurisdictions don't allow these limitations, so they may not apply to you.
Indemnification
You agree to indemnify and hold harmless Xpress Route Permits, LLC, its affiliates, and their officers, employees, and agents from any claim, loss, or expense (including reasonable attorneys' fees) arising from your violation of these Terms, inaccurate information you submitted, your operation of any vehicle or load, your misuse of the Site or a product, or your violation of any law or third-party rights.
Governing law and dispute resolution
These Terms are governed by the laws of the State of California, USA, without regard to its conflict of law provisions.
Any dispute arising from these Terms, the Services, a product, or your use of the Site will be resolved in the state or federal courts located in San Bernardino County, California, and you consent to the personal jurisdiction of those courts.
If any provision of these Terms is found unenforceable, the remaining provisions will continue in full force.
For users in the European Union
Nothing in these Terms limits your rights as a consumer under EU law. If you're an EU consumer, you may bring claims in the courts of your country of residence, and the law of your country applies to the extent it provides stronger consumer protections than California law.
You also have the right to use the EU's online dispute resolution platform: ec.europa.eu/consumers/odr.
Changes to these Terms
We may update these Terms from time to time. We'll change the "Effective date" at the top and, for material changes, give you reasonable notice. Continuing to use the Site or order from us after changes take effect means you accept the new Terms.
